In depth comparison: Microsoft Dynamics 365 vs Business Central

Sometimes the Microsoft applications are hard to navigate through, and the reason is similarities between the capabilities. One of the major confusion is between the Dynamics 365 CRM and Business Central. Microsoft Dynamics 365 Business Central and Dynamics 365 CRM have differing features, which is a common source of confusion.

Before we go any further, let’s take a deep look at the basic difference between Microsoft Dynamics 365 CRM and Microsoft business central.

What is the difference between Microsoft Business Central and Dynamics 365?

Dynamics 365 is a collection of Software-as-a-Service (SaaS) cloud-based business intelligence services and apps (SaaS). Microsoft initially released a variety of solutions to meet the needs of businesses. Microsoft Dynamics CRM, for example, has aided organizations in dealing with issues relating to sales, marketing, and customer service.

Two ERP systems were included under the Dynamics umbrella. Companies could use Dynamics AX and Dynamics NAV to obtain industry-specific business functions. The size of their organizations was the most noticeable difference between them.

Users can gain access to Business Central via a modern user interface, which provides a clear view of many business sectors such as supply chain management, product inventory, and operations. Furthermore, increasing the application’s automation capabilities allows staff to spend less time performing manual tasks.

Business Central’s business intelligence can be used to create real-time dashboards and reports that assist companies in making critical business decisions. Business Central can also be used by organizations to track timesheets, manage budgets, and keep track of the status of various projects.

Businesses can use Business Central to securely store and transfer data between platforms.

Business Central is a Microsoft Dynamics 365 Enterprise Resource Planning (ERP) system. It also offers CRM system characteristics, making it a versatile and adaptable platform.

Business Central gives you comprehensive control over sales, production, financing, project management, services, shipping, and more with its rich and highly flexible features. To help your specialized sector or business, you can quickly add essential functions to your region of operation.

Dynamics 365 Business Central’s Relationship Management capabilities may be a good fit for some companies’ lead management needs. With its basic administration capabilities, you may manage contacts, interactions, sales prospects, segments, and marketing programs.

Some of Business Central’s most important sales management functions are as follows:

  • Quote & order management
  • Account management
  • Opportunity management
  • Campaigns and segments
  • Contact management

In comparison to Dynamics 365 for Sales, the CRM capabilities of Dynamics 365 Business Central are more limited. While this option may be sufficient for some organizations’ contact and opportunity management needs, it may not be sufficient for those looking for a complete, purpose-built CRM solution, particularly when compared to Dynamics 365 for Sales. Dynamics 365 for Sales has significantly more possibilities, making it a better option for firms looking for the features listed above and more.

Which solution will be most beneficial to your business?

When Dynamics Business central is the best choice?

  • If your primary incentive for switching software is to improve financial and operational management, you also need some basic contact and opportunity tracking and reporting functions.
  • Integration with other Office 365 programs such as Outlook and Teams isn’t a necessity, and you don’t anticipate your company needing new CRM functionality anytime soon.
  • All you need are some basic sales management software to keep track of your cash, inventory, and manufacturing.
  • You want to arrange your company around possibilities and relevant quotations.
  • You must have comprehensive access to all product information and sales history.
  • The majority of your sales processes are simple.
  • You must meet certain basic marketing requirements.
  • Integrating with Outlook and managing sales activities is not a top focus.

When Dynamics 365 is the right choice?

  • By integrating your existing Office 365 resources, the major reasons for selecting a new CRM system are to consolidate and simplify your current sales processes, increase visibility and reporting, and boost sales conversions.
  • Strong integration with Outlook is required to track emails, manage projects and appointments, and reach out to customers via email marketing.
  • Even if you don’t need it right away, you’d appreciate the ability to adjust the out-of-the-box approach to further adapt the solution to your business needs.
  • You may want to consider updating your CRM solution to a more comprehensive and personalized solution in the coming years.

The Evolution of Dynamics 365

Dynamics 365 is continuously evolving. However, some people are still unsure whether to go with Dynamics 365 cloud or on-premise. We can assist you by guiding you through the entire evolution process.

Microsoft crm 2003

In the beginning: Microsoft CRM

Microsoft’s Customer Relationship Management business services have experienced numerous name and functionality changes since their introduction in 2003. We take a look at Microsoft’s Power Platform’s history and current state.

Microsoft Business Solutions Customer Relationship Management, which included basic Sales and Customer Service modules, was released in 2003. New fields and custom code could be added to improve the product, but customization options were limited beyond that. With the release of Dynamics CRM 3.0 in 2005, Microsoft added a Marketing module to the core Sales and Customer Service modules. One can now also add the Custom record types and get the activities to get reports for business anywhere else. Already, the product was gaining remarkable adaptability.

The ability to build a single system on a single platform that could benefit almost every aspect of a business gave rise to the term “xRM” or “Anything Relationship Management,” as new versions of CRM were released. Complex multi-faceted systems are easy to go with a strong security model and simple reporting options. However, all of this is available on the original Dynamics CRM platform’s Sales, Service, and Marketing modules. Customers were typically required to purchase full Dynamics 365 CRM licenses to gain access to the ‘xRM’ platform, even if they did not require the core Dynamics CRM out-of-the-box functionality.

The arrival of Dynamics 365

Of course, Dynamics CRM was not the only business application in Microsoft’s expanding business software catalog; they also offered several Enterprise Resource Planning (ERP) products, such as Dynamics AX and Dynamics NAV. In order to standardize their business offering, Microsoft launched Dynamics 365 in 2016, which was essentially an umbrella grouping of CRM/ERP products. As a result, each product was rebranded.

Microsoft Dynamics 365 Evolution from On-Premise to Cloud

Dynamics 365 cloud is a software suite that includes Enterprise Resource Planning (ERP), Customer Relationship Management (CRM), and other services. Here’s a quick rundown of Microsoft Dynamics’ evolution since 2001, focusing on its ERP line, Dynamics 365. It starts with Microsoft’s acquisitions of NAV and AX, followed by name changes to Dynamics 365 (D365), Business Central (BC), and Dynamics 365 (D365), Finance and Operations (F&O), and finally, its cloud strategy.

Microsoft Business Solutions Acquisition History

When Microsoft bought Great Plains in 2001, it launched the Microsoft Business Solutions ERP line. With the acquisition of Navision in 2002, a multi-language, multi-currency business management solution for mid-sized firms to manage their financials, supply chain, and people, the ERP vision grew even further. Great Plains, Microsoft bCentral (TM), and Navision a/s were part of the Microsoft Business Solutions ERP solution range for small and midmarket organizations in 2002.

To compete with QuickBooks, Microsoft released rival ERP systems called Microsoft bCentral (TM) and Microsoft Small Business Financials (previously Microsoft Small Business Manager) in 2001.

Microsoft Business Solutions changed its name to Microsoft Dynamics in 2006, and their ERP purchases were rebranded Microsoft Navision to Microsoft Business Central and Great Plains to Dynamics GP. After Microsoft purchased Axapta in 2009, it became Dynamics Finance and Operations, an ERP geared to help companies, large organizations, and holding entities.

Microsoft acquired approximately 100,000 Navision-using firms and over 20,000 Axapta-using businesses as a result of these acquisitions.

Microsoft Dynamics Shifts Towards Cloud-based Strategy

Cloud computing allows consumers and companies to use apps at any computer with internet connectivity at any time without installation. According to the global top research group Gartner, Software as a Service (SaaS) is the largest category in the Cloud market, and sales are predicted to increase by 17 percent to $85.1 billion in 2019.

The change to cloud-based solutions was necessary for Microsoft Dynamics to remain competitive with its CRM competitors, such as Salesforce, and ERP competitors, such as Netsuite. Since 2016, Microsoft Dynamics has been migrating from on-premise to cloud-based and hybrid solutions to suit this plan, and with the renaming to Microsoft Dynamics 365, it will continue to do so in the future.

Microsoft Dynamics 365 Finance and Operations for Medium to Large Organizations

Dynamics AX was rebranded as Dynamics 365 for Operations in November 2016, and then again in July 2017 as Microsoft Dynamics 365 for Finance and Operations, which is the current moniker.

Microsoft Dynamics 365 for Finance and Operations is the company’s new flagship ERP solution for medium to big businesses (with a target size of more than 250 employees).

D365 Finance and Operations now interfaces with field service, project service automation, retail, sales, talent, and customer service, bringing together formerly disparate systems into a single platform. Microsoft Dynamics 365 Business Central for Small to Midsize Businesses

Dynamics 365 Business Central is now a multi-language, multi-currency solution. It connects financials, sales, service, and operations to help businesses optimize processes, increase customer interactions, and make smarter decisions. It connects many systems into a single application, using Office applications like Outlook, Word, and Excel.

Microsoft Dynamics Evolves Beyond ERP and CRM

With its 2016 acquisition of professional networking site LinkedIn for about $26.2 billion, completed shortly after Dynamics 365 went live, Microsoft Dynamics has recently evolved beyond ERP and CRM to become an application platform for business processes. With access to LinkedIn’s 500 million corporate users, Microsoft CRM got integrated into one of the largest online communities. According to LinkedIn, people are more ready to respond to a LinkedIn InMail than to a typical email, which claims that its InMail response rate is 300 percent higher than a regular email.

Microsoft Teams is a product of Microsoft 365 that enables you to connect, work together and simplify work with others. Business Central includes a Microsoft Team-connecting application in Business Central, which enables you to rapidly communicate information with each team member, search for contacts, and answer requests quicker.

Business central in Microsoft teams can be used in Teams marketplace and the Teams desktop, mobile application, or web.

How does Microsoft Teams integrate with Dynamics 365?

Microsoft has introduced a range of new integrations between Teams and Dynamics 365 during its 2021 conference which will be available in the upgrade for the Release Wave 1. This step is to improve Microsoft products and services.

These new integrations are built to reduce distractions caused by jumping between applications and data searching by uniting teams and dynamics 365. Microsoft claims that these will create a larger context for apps as they continue to connect engagement systems to record systems. This includes teams meeting, chatting, and calling without changing to teams and collaborating in the Dynamics 365 workspace. Or access, modify and share Dynamics 365 documents when working in teams.

·     Accounts

Permissions for the integration user account require configuration when you install the Integration Solution. You might need to reset them if those permissions are changed. By reinstalling the Integration Solution on the Dynamics 365 Connection Setup page, you can do that by selecting the Redeploy Integration Solution. There are the following security positions enlisted:

  • Dynamics 365 Business Central Integration Administrator
  • Dynamics 365 Business Central Integration User
  • Dynamics 365 Business Central Product Availability User

Invoices & Invoice adjustments

After setting the user accounts and permission, you will also have to work on the invoices. The invoices page helps you handle the synchronization. For example, Posted invoices for purchases are synchronized with invoices for sales. It is easier to synchronize all other agencies that can participate in the invoice, from salespersons to price lists, before an invoice can be synchronized. The Salesperson Code’s meaning in the invoice header in Sales determines the owner of the coupled entity.

·     Currencies

Your business may also be using different currencies. The integration of the D365 sales and business Central allows you to manage multiple currency accounts easily. The synchronization of currency in Business central and transaction currency in sales enables you to manage different currencies through a single dashboard.

·     Items

Next, we have the synchronization of Items and products. In Dynamics 365 Sales, Business Central automatically maintains a price list while synchronizing items with Dynamics 365 Sales goods. You should not manually change this price list to prevent synchronization errors.

·     Pricelist items

This is an essential entity, as you might imagine. The price list item is a key order since it sets out the amounts that can be offered for the commodity (unit group and unit), the price list (price list and price list item), the product (discount list and the product itself), and the discounts. The creation of price list products is the focus of a useful product catalog.

·     Territories

Manage sales territories, and with integration, you can have improved sales results and handle them geographically – enhancing Market Potential by focusing on facilities or sales within the jurisdiction of the territories.

·     Units of Measure

Units of measure and unit group can be done through custom integration as you need to have multiple units of measure, and synchronizing both can bring more visibility and clarity.  You can assign both the base unit and alternate units to set them for automation further.

·     Warehouses

From orders to the packing and shipping, all can be managed from one platform. Using a DFSM integration solution can make you have all in front of you when you need it. Information from all the warehouses, despite the location, will be easy to access and control from anywhere.

DFSM has the solutions to ensure you get the integration solution for Dynamics 365 sales and Business Central according to your business needs. So, if you need more information and want to get started, let us help.
